FRIDAY, MAY 16, 2008, MARTIN'S WEST, CONVOCATION INFORMATION SHEET The Graduation Planning Committee and Office of Student Affairs (OSA) hopes this page will answer some of the questions you may have regarding the SSW Convocation and the University-wide Commencement. Graduation is a two-part process involving: School of Social Work Convocation (9 a.m., Martin's West - graduates are to arrive at 8 a.m.), and the UMB Commencement Exercise (3 p.m., First Mariner Arena, 201 W. Baltimore Street - May and July graduates are to arrive no later than 2:15 p.m.). This information pertains, primarily, to the SSW Convocation. You will receive information in the mail from the Office of the Registrar (706-7480) regarding the University-wide Commencement. Am I a May or July Graduate? If you are enrolled in an extended field placement you are considered a July (Summer) graduate. What is the SSW Convocation? It is a ceremony during which degree candidates (PhD and MSW) of the School of Social Work are recognized by the Dean and Faculty of the School. The name of each graduating student is announced as his or her robe or hood is presented. Where is the SSW convocation held? Martin's West, 6817 Dogwood Road (Woodlawn), Baltimore, Maryland. [Map It] When is the SSW Convocation? Friday, May 16, 2008, 9 a.m. (until approximately 11 am). Graduates must report to Martin's West at 8 a.m. (Note: a continental breakfast is provided for family, guests, and graduates from 8 to 8:30 a.m.) Note: July graduates are invited to participate in both the SSW and UMB ceremonies along with December 2007 graduates. July graduates are not listed in the UMB Commencement Program. GRADUATION TICKET/ANNOUNCEMENT DISTRIBUTION SCHEDULE - Room 1E08 (4 Tickets Per Student) There will be a message board in the Student Mailroom where graduates can leave messages stating that they are in need of tickets OR they have tickets available. The schedule for ticket distribution for the School's Convocation Ceremony on Friday, May 16th, 9 am at Martin's West is below. Please plan on picking up your allotted tickets (four) within the scheduled times. You will need to come to room 1E08 with some type of photo ID, check the list to insure that your name appears and is correct, your concentration and specialization information is correct, and then sign to get your tickets, a pack of general UMB announcements, and an information sheet. 10 am - 6 pm - Monday, April 21 through Friday, April 25 10 am - 6 pm - Monday, April 28 through Friday, May 2 11 am - 1 pm - Saturday, May 3 & May 10
Attire: Traditional academic regalia (cap, gown, tassel and robe/hood) are required. Doctoral candidates will be honored by the Director of the School of Social Work's PhD program. Master's candidates will be required to drape their hood across their right arm when proceeding into the ceremony hall and when crossing the stage. Once on stage, a faculty member will place the hood on the graduate then the graduate will be honored by Dean Barth. Full academic regalia will also be worn at the University-wide Commencement. Packets can be ordered through the UMB Bookstore. Diplomas*: UMB diplomas will be presented to May graduates at the 3 p.m. University-wide Commencement. Graduating students planning not to attend the afternoon exercise need to notify the SSW Office of Dean Richard Barth in writing. Your notification should include: your name and Social Security number, your mailing address, and an indication as to whether you intend to pick up your diploma or if you prefer the University to mail it to you. Diplomas will be held for pick-up in the UMB Office of the Registrar located at 110 S. Paca Street, 2nd Floor. After June 2, the UMB Registrar will mail all remaining diplomas. Parking: Free parking is available at Martin's West (directions will be on the back of the Convocation tickets). Please direct any questions you may have to the Graduation Committee via the SGA mailbox (Student Mailroom-First Floor) or the Office of Student Affairs (706-5100). Commencement Photographs:
Chappell Studios will handle photography during the SSW Convocation ceremony. A photographer from Chappell Graduation Images will be at the ceremony to take a candid photo of each graduate as they receive their diploma. Graduates will receive a free digital proof of this photo on an order card within 5 to 7 days following the ceremony. Graduates will also be sent an email link to their photo. Following the ceremony, graduates can order online at www.gradimages.com or call 800-424-3686. Graduation Photography Preregistration Email Link is Available! In an effort to inform the parents of graduates about photos at the upcoming ceremony, Chappell Studios has developed a new preregistration system which allows graduates and/or their parents to provide their email and mailing address information to Chappell prior to the ceremony. They can also add up to 6 family members' contact information as well to help share the good news and the photos! Graduates can preregister their email, friends and family email addresses and Graduation Images will contact them just as soon as their photos are available for online viewing and ordering. Click here to be taken to the graduation photography preregistration Web site. Specialization Certificates Certificates will be mailed to each graduate by August. Commencement Protocols at the 1st Mariner Arena [Map It] For the May 16 University Commencement at 1st Mariner Arena, to follow are the Arena's security protocols: - No sealed packages or containers of any type will be allowed into the Arena unless they have been searched (e.g., coolers, boxes, bottles, etc.).
- All packages and wrapped gifts will be opened and searched. Spot searches, consisting of searching sealed and unsealed containers, briefcases, camera bags , or other items carried into the Arena, may be randomly performed by 1st Mariner security personnel.
- The main entrance to the Arena is located at Baltimore Street and Hopkins Plaza; the handicap entrance is located on Howard Street near Baltimore Street.
